Softment ("Softment", "we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you visit softment.com and related pages, including our contact forms and tools (collectively, the "Services").

1) Information We Collect

Information you provide

  • Contact details such as name, email, phone number, company name
  • Project details you submit through forms, chat, estimator, planner, or other tools
  • Messages and files you upload (such as briefs, screenshots, or documents) when available

Information collected automatically

  • Device and browser information (e.g., browser type, operating system)
  • Usage data (e.g., pages viewed, time spent, clicks)
  • Approximate location derived from IP address
  • Cookies and similar technologies (see Section 6)

Third-party information

If you interact with third-party services we use (e.g., email delivery, analytics), they may provide limited information to us (such as delivery status or event logs).

If our optional business-outreach program is active, we may also process limited professional contact information from a pre-audited United States business list, such as a person's business name, business email address, role, company, and campaign interaction status. The program is not designed to scrape personal profiles, invent identities, or use personal consumer addresses.

2) How We Use Information

We use information to:

  • Respond to inquiries and provide customer support
  • Evaluate your request and prepare estimates, plans, or proposals
  • Operate and improve the Services, including troubleshooting and performance monitoring
  • Prevent spam, abuse, fraud, and security incidents
  • Communicate service updates, confirmations, and administrative messages
  • Where permitted, send relevant business-to-business communications about services that may fit a recipient's professional role, measure delivery, and honor replies or opt-outs

3) Optional Business Outreach and CRM

Optional outreach channels remain disabled unless their privacy, security, and account controls are configured. When enabled, we use a limited, pre-audited business-contact list and an approved campaign; we do not use the website's job applications as sales leads.

  • Every marketing message must provide a way to opt out or reply.
  • Replies, bounces, complaints, unsubscribe requests, and privacy requests stop pending outreach and are propagated to connected providers where applicable.
  • We may retain a one-way identifier or suppression record as needed to remember and respect an opt-out, even after other contact fields are deleted.
  • AI may help analyze aggregate, de-identified performance signals and draft material, but the growth system is not permitted to send personal identifiers or individual messages to the AI strategy model.

4) AI Features and User Content

Some pages may include AI-assisted features (such as chat, estimators, planners, proposal generation, or diagnostic workflows).

  • We use your inputs to generate outputs and to improve the user experience.
  • Do not submit sensitive personal information unless it is necessary for your request.
  • If you submit source code or repository links for evaluation, we treat it as confidential and use it only for the purpose you requested (such as generating a diagnostic report or quote), subject to Section 5 below.

5) How We Share Information

We do not sell your personal information. We may share information:

  • With service providers that help us run the Services (e.g., hosting, analytics, security, CRM, email delivery, and—when enabled—business outreach). These may include HubSpot, Resend, and Smartlead for the functions described above.
  • If required by law, legal process, or to protect rights, safety, and security
  • In connection with business changes (e.g., merger, acquisition, or asset transfer)

Service providers are permitted to process data only to perform services for us and must protect it.

6) Data Retention

We retain information only as long as necessary for the purposes described above, including:

  • Handling inquiries and ongoing communications
  • Maintaining records for operational, security, and legal compliance
  • Keeping project-inquiry IP address and browser metadata for no more than seven days for abuse response
  • Redacting project-inquiry name, email, company, free text, reference links, meeting preferences, and provider notification identifiers after 365 days
  • Keeping opt-out and suppression records as needed to prevent future unwanted communication

Retention may vary depending on the type of data and the purpose of processing.

7) Cookies and Analytics

We may use cookies and similar technologies to:

  • Remember preferences (such as theme or country selection if used)
  • Understand usage patterns and improve site performance
  • Support basic security and anti-abuse measures

You can control cookies through your browser settings. Disabling cookies may limit certain features.

8) Security

We implement reasonable administrative, technical, and physical safeguards to protect information. However, no method of transmission or storage is completely secure.
